Who processes your data

The SonoForm service at getsonoform.com is operated by its developer, Aleksandr Novikov (the Developer). Questions about personal data: support@getsonoform.com.

What data is processed

Account data: e-mail address, interface language, time of sign-in, linked devices (device name and time of linking), and the log of acceptance of the Terms.
Working data: audio recordings you upload, the recognised text, the values of the report, the produced documents, the notes and the examination parameters you enter (exam type, physician name, place and device, age, weight and height without identifying details).
Payment data: the amount, currency, date and identifier of each payment and the balance history. Card details are not transferred to the Service: payments are made on the pages of the payment platform lava.top.
Technical data: IP address and browser information in server logs, kept for security and troubleshooting.

The Service is not intended for data that identifies a patient. There are no fields for the patient's name, date of birth or medical record number, and a warning is shown before a recording is uploaded. You undertake not to dictate or enter such data.

Why and on what basis

Data is processed to provide the Service under the Terms of Service: to sign you in, process your recordings, produce documents, keep the balance and answer your requests. The e-mail address is also used for service messages (sign-in messages, payment confirmations, changes to the Terms). No marketing messages are sent without your consent.

Who else receives the data

Speech recognition and text structuring providers receive the audio recording and the recognised text for the time of processing.
The payment platform lava.top receives your e-mail address and the payment amount to process the payment.
The e-mail delivery provider receives your e-mail address and the text of service messages.
Hosting: the Service runs on servers of the hosting provider; the data is stored in an encrypted form at rest.

Data is not sold and is not transferred to anyone else, except where required by law.

How long the data is kept

Audio recordings are kept for a limited time: 14 days after upload by default, and you may shorten this period in the profile settings. After that the audio is deleted automatically even if the study stays in your account. The recognised text, the report values and the produced documents are kept while you keep the study in your account: you may delete any study yourself, and it is removed together with its documents. Account data is kept while the account exists. Payment records are kept for the period required by accounting rules. Server logs are kept for up to 90 days.

Your rights

You may view and delete your records in the account, change the interface language, unlink devices, request a copy of your data, and request deletion of the account and the refund of the unused balance by writing from the e-mail address of the account to support@getsonoform.com. Deletion is performed within 10 calendar days, except for payment records that must be kept by law.

Cookies and analytics

The account uses only technically necessary cookies (session and language). The website may use Google Analytics with IP anonymisation, and only after you accept it in the consent bar; you may decline it, and the site keeps working.

Changes

A new edition of this Policy is published at getsonoform.com/en/legal/privacy at least 5 days before it takes effect; existing users are notified by e-mail.
